As one school year comes to a close and you begin to look ahead to the next, here are a few action items to ensure your account is ready for the transition.
The following information and instructions are intended for school and/or district leaders who are responsible for maintaining contact, classroom, and roster data year-over-year.
This Guide is Divided into Three Sections:
- Data rollover for customers who are syncing their data via Clever, ClassLink, or OneRoster
- Archiving manual records for customers who manually upload data directly to Connect
- Summer and Back-to-School Training and Support Options ๐
Section 1: Data Sync Rollover ๐
If you are syncing your contact, classes, and roster data via Clever, ClassLink, or OneRoster...
Your data in SchoolStatus Connect will automatically roll over when your sync source rolls over.
๐จ Threshold Errors
An excessive amount of data changes may cause the sync to fail because of the deletion threshold. You canย increase your thresholdย if this happens.
โ Pausing Your Data Sync
Some customers may choose to pause or disable all or portions of their sync during this transition phase. This is especially important if you do not want staff or families to have access to class and roster information until a set date.ย You can disable and enable your sync anytime from the SIS Rostering page within your SchoolStatus Connect portal.
๐ง Manual Records
Note that any manual contacts or classrooms will NOT automatically roll over. Follow the steps in the section below to archive and/or delete manual records.
๐ Download Connect Reports
It is recommended that you go ahead and download any of the Connect Reports that you may want to keep for documentation.

Section 2: Archiving Manual Data Records ๐ง
If you manually upload contact, classroom, and roster data directly into Connect, it is recommended that you clean out the old before adding in the new. The steps below will help you clear out old classrooms, staff, and students in preparation for importing new data for back-to-school.
๐ Remove Inactive Staff
When school staff members leave, it is important toย remove their accessย to your school's account.
๐ Archive Manual Classrooms
It is best practice toย archive previous school years' classroomsย and create new classrooms fresh for the new school year.
๐ Archive or Delete Manual Students
You have the option ofย archiving or deleting any non-returning students, or archiving all students with the intent to do a full fresh upload of new and returning students.
๐ Merge Duplicate Students
If, during the process of cleaning up, you notice you have duplicate students, you can use this process toย merge duplicate studentsย into one.
๐ Download Connect Reports
It is recommended that you go ahead and download any of the Connect Reports that you may want to keep for documentation.
