School Staff members can upload students' and parent/guardians' information into the School Directory on SchoolStatus Connect by copying their data following a standard format using a spreadsheet.
Note: We recommend archiving all students before uploading the new roster. Please follow the instructions from this help article to archive all students.
If you are uploading on the Classroom level, please click here.
Spreadsheet Format
Please remember that all headers/column titles must be followed and copied for this process to work.
Student Columns
Required Fields: student first name and student last name
Parent/guardian Columns
Required Fields: guardian 1 email OR guardian 1 phone. Must have at least one or both.
Note: If you want to put the parents' names, they MUST have both first and last names. Otherwise, leave them all blank.
You can see the list of Language codes here and the acceptable Grade-level codes.
You can upload up to TWO parents/guardians per student at a time using the Copy from a Spreadsheet method. Add another set of columns for the second parent/guardian as shown in the sample photo below. The same conditions as the first parent/guardian columns have to be met.
You can use this sample spreadsheet as a template.
Note: Phone numbers from the Guardian 1 field are saved as a user’s mobile phone number. This means that this number is used for a user’s login method, and is their communication method for SMS and phone calls.
Phone numbers from the Guardian home 1 phone field are saved as user’s Home Phone Number, meaning they are not used for communications or login.

Entries with Errors
Errors may occur when one or more entries contain invalid values. When this happens, the affected entries will be highlighted in red and moved to the top of the list so you can easily identify them.
To resolve errors, you can use any of the following options:
-
Remove entries with errors: Delete the rows containing errors if you don’t want to import those entries.
You can also scroll all the way to the right of the table, and click the Trash can icon to remove a specific row:
-
Show only entries with errors: Use the toggle to filter the list and display only entries that need attention.
-
Edit entries directly: Click the pencil icon to edit the values in individual fields without having to return to your spreadsheet.
Once the field is updated, this will remove the highlight.
Once you’ve corrected the errors, you can proceed to the next step of the import process.
Students who already exist in the School Directory will be detected. Decide whether to:
- Update student, add guardians - will add new parents/guardians that are not connected to the existing student
- Update student, replace guardians - will add new parents/guardians replacing parents/guardians that are not included in the new spreadsheet
- Create new student - will ignore the detected student and create a new one
- Skip the student - will skip and do nothing
9. Click Apply. Wait a couple of minutes. It may take a while depending on how many students and parent/guardian information you're uploading.
Note: If a parent/guardian's email or phone number from your spreadsheet already belongs to an existing SchoolStatus Connect user, we will find that user and connect them to the student. Please note that in some cases, their names may be different from what you copied from the spreadsheet.
Adding them all to the School Directory using this process doesn't enroll students in their classrooms. You will have to do that manually by following the instructions from this article.
If you end up with duplicate students, you can merge them by following the steps here.
All set! Your School Directory is now updated! 🙌
