Archiving/Graduating classrooms in bulk for the district or school – SchoolStatus Connect

SchoolStatus Connect recommends archiving/graduating classrooms when they are no longer needed for communicating with families. Archived classrooms don’t produce any notifications and don’t take up space in the user interface, so it’s easier to navigate the platform.

Below are important details about the archived classrooms:

Can only be archived by class administrators. A classroom can only be archived by its administrators - Teachers, School Staff members with Rostering Administrator permission, and District Staff members. An archived classroom is archived for all its members. Parents cannot archive classrooms for themselves.
Are only displayed in Account Settings. Archived classrooms are only displayed in the Account Settings of their teachers and guardians.
Are not for use. Archived classrooms help to preserve historic information and are not intended for real use due to various restrictions.
Can be unarchived. An archived class can be unarchived by its teacher at any time. No information is lost if you archive and unarchive a class.
Can be archived even if managed by the synchronization. Classrooms that take part in automated roster synchronization can be archived manually. This fact may be used to archive extra classrooms on SchoolStatus Connect if the Student Information System (SIS) overshares classes. Before you archive classrooms, please keep in mind that the next sync may unarchive them if the Unarchive classrooms that reappear in the roster data sync setting is enabled, and your SIS still sends these classrooms to SchoolStatus Connect.

Depending on your role on SchoolStatus Connect, you may have access to several ways to archive classrooms.

Archiving Classrooms Depending On Your Role

There are several distinct roles that a user may have on SchoolStatus Connect. Please see this section to learn what options for archiving classrooms are available to you and staff members in your organization.

District Staff

As a District Staff member, you may:

Archive any/all classrooms in all schools
Archive any/all classrooms in a school
Archive individual classrooms in a school

School Staff

As a School Staff member with the Rostering Administrator permission, you may:

Archive any/all classrooms in your school
Archive individual classrooms in your school

Classroom Teacher

As a Classroom Teacher, you may:

Ways To Archive Classrooms

There are several ways to archive classrooms on SchoolStatus Connect. Some of them allow you to archive classrooms in bulk, while others are for archiving individual classrooms. Please see this section to learn more about it.

Archive Any/All Classrooms In All Schools

As a district staff member, you may archive all classrooms in all your schools in one go. Please note that this feature is only available for SchoolStatus Connect districts and only archives classrooms in SchoolStatus Connect schools.

Step 1. Open the Classrooms page in your district

Step 2. Click the box to select all classrooms (or whichever classrooms you want to archive)

Step 3. Click Actions

Step 4. Click Archive All Classrooms and confirm

Note: this action archives all selected classrooms, but sync-managed classrooms may be unarchived if roster synchronization is enabled, your SIS/Clever/ClassLink still sends classrooms to SchoolStatus Connect, and the Unarchive classrooms that reappear in the roster data sync setting is enabled.

District leaders can also bulk archive all of their SIS-synced classrooms in Rollover Management.

Archive Any/All Classrooms In A School

As a school staff member with the Rostering Administrator permission or a district staff member, you may archive all classrooms in a school in one go. Please note that this feature is only available in SchoolStatus Connect schools.

Step 1. Open the Classrooms page in your school

Step 2. Check the box to select all classrooms (or whichever classrooms you want to archive)

Step 3. Click Actions

Step 4. Click Archive Classrooms and confirm the action.

Archive Individual Classrooms In A School Or District

As a classroom administrator - class teacher, a school staff member with the Rostering Administrator permission, or a district staff member, you may archive individual classrooms.

Step 1. Open the Classrooms page in your school.

Step 2. Find the class you want to archive and click the box beside it.

Pro Tip: For Schools or Districts with a sync, note that the sync will update your SIS Classrooms automatically in the new year, but manual Classrooms will need to be manually archived. You can use the Filter option to filter for Classrooms with a Manual Classroom Source, allowing you to select all Manual Classrooms for archiving. Note that if you do not archive manual Classrooms, they will persist into the new year, with their existing Directory and history of Announcements, Events, etc.

Step 3. Click Actions

Step 4. Click Archive Classrooms and confirm the action.

Note: this action archives any classroom, but sync-managed classrooms may be unarchived if roster synchronization is enabled, your SIS/Clever/ClassLink still sends classrooms to SchoolStatus Connect, and the Unarchive classrooms that reappear in the roster data sync setting is enabled.
